Know which POs will slip before they do.

Nich AI asks each vendor for a status update every Monday, logs their replies, and alerts buyers when dates slip.

One vendor, one week, start to finish.

Follow a single status request to Northwind Fasteners through every step. The emails, rows and alerts below come from a simulated test week.

Your accounts. Narrow access. An off switch.

IT approves one app with a tight scope. You can pause it, or cut its access, whenever you like.

  • Runs in your own accounts

It runs in your company's own Claude account, on your own Microsoft 365.

  • One mailbox, one SharePoint site

Access is limited to a single mailbox and a single SharePoint site. Nothing else.

  • Vendor emails can't give it orders

Instructions hidden in a vendor email are treated as text to record, never obeyed.

  • Pause it, or cut it off

Pause it at any time. Revoke the app in Entra ID and its access ends instantly.

Live in about two weeks.

About an hour of your team's time, then a shadow week before anything reaches a vendor.

IT: approve the app and scope it to one mailbox and one SharePoint site.

Purchasing lead: share vendor email addresses and the buyer list.
  2. 1 week

    Shadow week

Vendor emails go to an internal address first, so you see exactly what vendors would receive before anything is sent to them.

  3. About 2 weeks in

    Go live

Requests go to vendors every Monday, and buyers hear about slipped dates in Teams.

Questions purchasing teams ask.

Will it pester my vendors with reminders?

No. Each vendor gets one status request a week. If a vendor hasn't replied within a business day, the reminder goes to your buyer, who decides whether to call.

Who can it send email to?

Only addresses on your vendor list, and only using a fixed template. Each email lists that vendor's open lines: PO, line, material number, item, quantity and due date.

What happens when a vendor ships short or changes a price?

The answer goes into the PO Tracker as given. Short quantities and price changes are marked Discrepancy, late dates are marked Confirmed late, and the buyer is told.

We use personal Outlook, not Microsoft 365 business. Does it work?

Yes. Buyer alerts arrive by email instead of Teams.

If the mail button does nothing on your computer, copy the address and paste it into your usual email.
